Microsoft 365 OneDrive backup

Microsoft 365 Backup covers OneDrive for Business accounts that are in a backup policy. The cost is based on the protected gigabytes, which includes current files, version history and the recycle bin. A OneDrive that looks small in the admin centre can be significantly larger when all three layers are counted.

What is protected

What makes the OneDrive bill bigger than expected

The per-GB rate of $0.15 applies to the protected total, not just the files a user sees today. OneDrive keeps multiple versions of Office documents and deleted items for a period of time. In teams that edit the same files repeatedly, version history can add 20-100% or more to the billable size.

Recycle-bin content is also billable until it is purged. A recent cleanup may not reduce the backup bill immediately, because deleted files remain recoverable and therefore protected for their retention period.

Deleted users and orphaned OneDrive accounts

When an employee leaves and the licence is removed, the OneDrive account enters a limited retention window. If the account was in the backup policy, recovery points are available for up to a year. Restoring it creates an orphaned account that must be reconnected to a licensed user before it becomes usable again. This is a workable restore path, but it is not the same as handing a new employee a ready-to-use OneDrive.

Retention and restore limits

Backups are retained for up to one year and restored inside the same tenant. There is no export option and no multi-year retention. If your use case needs either, native backup will not be enough on its own.

When OneDrive backup is enough

Native OneDrive backup is a good fit for organisations that need point-in-time recovery of user files within a one-year window, can tolerate in-place restores, and do not need to keep copies outside Microsoft's cloud. The main cost surprise is version history, so the sizing exercise should include it from the start.

Frequently asked questions

Does Microsoft 365 Backup cover OneDrive?

Yes. Microsoft 365 Backup protects OneDrive for Business accounts that are included in a backup policy, including file version history and recycle bin content.

Does OneDrive backup include version history?

Yes. Versioned files count toward protected storage, so a OneDrive account with heavy versioning costs more than the current-files size suggests.

What happens when a OneDrive user is deleted?

When a user is removed, the OneDrive account enters a retention window before deletion. Native backup only helps if the account was already in scope. Restoring a deleted user's OneDrive leaves it orphaned until it is reconnected to a user.

How long is OneDrive backup retained?

Microsoft 365 Backup retains data for up to 365 days. It does not provide multi-year retention or offline copies.

How much does OneDrive backup cost?

OneDrive backup is charged at $0.15 per GB of protected content per month. The bill includes current files, version history and recycle-bin content.
